Software for Logistics and Transport

The trucks and vans move. The calls, paperwork and rekeying between systems are what slow the money down.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Status lives on the phone.

Brokers and shippers call dispatch for updates, dispatch calls the driver, and everyone loses part of the day to check calls the GPS data could have answered.

  • Paperwork holds up the invoice.

A load cannot be billed until the signed proof of delivery is in. When that paper rides around in a cab for days, so does your cash.

  • The same load gets typed in again and again.

Rate confirmations arrive as PDFs. Someone keys the load into the TMS, then into accounting, then into the factoring company’s portal.

  • Carrier onboarding is a pile of documents.

For brokers, every new carrier means insurance certificates, authority checks and tax forms to collect and keep current. Expired paperwork is easy to miss.

  • Couriers field “where is my delivery” all day.

Customers want a live answer, and the office gives it by looking up the driver and calling back.

Software capabilities

Fewer check calls, faster paperwork to invoice

01

Tracking links instead of check calls

Read last known position and expected arrival from the ELD or driver app and expose it on a per-load page. Dispatch is alerted to genuine exceptions, such as a stop longer than planned or an ETA that slips, rather than to every customer question.

02

Proof of delivery to invoice the same day

A driver app with one screen and large controls captures the signed POD, queues it when the signal is weak and attaches it to the load. Billing can then start without waiting for paper.

03

One entry for a load

Extract key fields from a rate confirmation PDF, have a person confirm them, then write the load to the TMS and accounting together. Keep the source document on the record.

04

Carrier documents that cannot silently expire

Hold insurance, authority and tax documents on the carrier record with expiry alerts and a block on new loads when a document lapses.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Systems integrated in Logistics and Transport
Customer tracking pageA link per load that shows the last known position and expected arrival from the ELD or driver app, so dispatch only hears about real exceptions.
Driver proof-of-delivery appOne screen, big buttons and a design that works with a weak signal: drivers snap the signed POD and the invoice goes out with the document attached.
Rate confirmation intakeKey fields read from the PDF, checked by a person and sent to the TMS and accounting at once.
Carrier document trackingEach carrier’s documents on one record, with alerts before anything lapses and a hold on new loads if it does.
Exception alertsA notification to dispatch when a truck stops longer than planned or an ETA slips, in place of constant calls.

Security and implementation

Access rules belong in the architecture.

Limit customer tracking pages to their own loads with unguessable links. Protect driver location data and restrict who sees it. Keep credentials for ELD, TMS and accounting integrations scoped to the minimum access needed.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Logistics and Transport questions

Can you work with our TMS and ELD provider?

Many of the common ones, including Samsara and Motive, publish APIs. Some older or smaller systems only offer exports. We confirm what yours allows before we quote anything.

We are a small fleet. Is custom software overkill?

It can be. A good off-the-shelf TMS covers most small fleets. Custom work fits the gaps around it, like customer tracking pages or paperwork that has to reach a factoring company in a specific format.

Can drivers use it without extra training?

That is the bar. Anything a driver touches should be one screen with big buttons, and work with a weak signal, because that is the reality on the road.

Can you read rate confirmations automatically?

Yes, with a person checking the extracted fields before anything is sent on. Layouts differ between brokers, so we test against your real documents.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
